Virtual Events Specialist

This is a hybrid role which can be based in our Schaumburg or downtown Chicago office.

Under the supervision of the Manager, Virtual Events, supports the implementation of SOAs virtual event portfolio. Works collaboratively as a team member to support and deliver virtual events and programs. This role works with vendors, volunteers, and SOA staff to plan, implement, and deliver virtual events. Research new tools to stay on top of trends in the digital event space.

ESSENTIAL FUNCTIONS

  • Provide support for virtual events and programs.
  • Support the implementation of online tools, including but not limited to event mobile app, event platform(s), polling, webcast provider, production and recording vendors.
  • Provide deliverables and deadlines for event project plans.
  • Coordinate training sessions/rehearsals for speakers/moderators, sponsors, and staff.
  • Create run of show/production schedules.
  • Provide technical support to presenters and hosts.
  • Provide information to aid in the development of training materials to support meeting hosts, speakers, sponsors, and event support staff.
  • Compile information for event testing and quality control procedures.
  • Compile virtual event evaluations.
  • Compile virtual event reports (attendee, polling responses, Q&A, etc.)
  • Learn and apply new, SOA-approved technology tools to perform job responsibilities.
  • Additional responsibilities as required.

EDUCATION AND EXPERIENCE REQUIRED (an equivalent amount of training, education and experience will be considered)

  • Bachelors Degree in Business Administration, Project Management, or other related area, or equivalent work experience
  • DES (Digital Event Strategist) Certification is preferred, but not required
  • At least 2 years of experience in planning virtual programs/events and project management.
  • Association experience is preferred.

KNOWLEDGE, SKILLS AND ABILITIES including competencies that may be representative but not all inclusive of those commonly associated with this position.

  • Highly adaptable in a fast-paced hyper-growth environment; able to thrive within constantly changing environment.
  • Ability to analyze information to find trends or diagnose problem areas.
  • Knowledge of Zoom and other virtual platforms.
  • Provide excellent service and teamwork with staff, members and volunteer leaders whose objectives and knowledge base may vary.
  • Communicate effectively with staff and volunteers.
  • Work effectively independently and as a member of a team.
  • Manage multiple tasks simultaneously.
  • Ability to provide timely and accurate follow up on assignments.
