Overview:

APIC is the leading professional association for infection preventionists (IPs) with more than 15,000 members. We are seeking an Education Program Manager to support the Education and Events department in a part-time (25-29 hours/week), temporary role (6 months).

This is a great opportunity for educators who are seeking a career change or desiring to return to the workforce in a part-time, remote capacity. The valuable skills educators possess in the classroom (developing lesson plans, instructing class sessions, building relationships) are transferable to this exciting program manager role that helps to help guide adults through their professional development.

Reporting to the Associate Director of Education & Events, the Education Program Manager is responsible for implementing, managing, and tracking project deliverables for APICs federal, state, and corporate grant- and contract-funded projects resulting from Grants and Business Development. This position leads project implementation through final execution, ensuring that clearly defined project goals, schedules, and budgets are met.

The Education Program Manager has high visibility and significant interaction with association members, vendors, and APIC staff. This position supports the goals and mission of APIC and exemplifies APICs staff core values of Ownership, Unity, and Commitment.

This is a local or remote position. Local candidates are defined as a person having a legal residence in DC, MD, or VA and lives within 75 miles of our HQ in Arlington, VA. Local candidates will have telework options available up to five days per week. Remote candidates are defined as candidates that live outside the definition of a local candidate. Remote candidates work from home five days per week.


Responsibilities of the position:

Project Management (40%)

  • Oversee the execution of multiple projects and contracts.
  • Identify and secure all necessary faculty for each project.
  • Review project schedules with management and any other key staff; revising schedules as required.
  • Ensure all necessary materials are provided to faculty and clients.
  • Work with the Education & Events Specialist to ensure that all travel and project logistics are taken care of.
  • Complete any contract closeout and follow-up work with the client, including any necessary follow-up.
  • Coordinate with consultants/faculty on project deliverables and administrative matters.
  • Help review and submit all project deliverables to the client, on time, within budget, and at the required level of quality.
  • Facilitate team and client meetings
  • Provide project updates on a consistent basis to various stakeholders about strategy, adjustments, and progress including any changes and or anticipated risks.
  • Manage and execute events associated with project responsibilities and according to project plans.
  • Maintain curricula.
  • Oversee content updates for organizational training and grant-funded projects
  • Ensure that all project documents are complete, current, and filed appropriately, including writing and/or editing web content and marketing copy in collaboration with Grants and Business Development.
  • Conduct project evaluations and assessment of results.
  • Minimize APICs exposure and risk by proactively raising concerns.

Project Planning (20%)

  • Determine and define project scope and objectives in collaboration with Grants and Business Development.
  • Help determine objectives and measures upon which each project will be evaluated at its completion.
  • Coordinate internal resources and third parties/vendors for the flawless execution of projects.
  • Help determine resources (faculty, time, money, equipment, etc.) required to complete projects.
  • Develop and manage a detailed project schedule and work plan that effectively allocates resources to activities.
  • Determine objectives and measures upon which each project will be evaluated at its completion.

Financial Support (15%)

  • Prepare, submit, and approve invoices in a timely manner.
  • Regularly review and use data from budget versus actuals to inform key budget decisions and provide status reports to key stakeholders.
  • Track project costs to meet budget.
  • Work with accounting to process payments and create invoices.
  • Track all projects in terms of revenue, expenses, goals, and attendees.
  • Track team/consultant/contractor hours and expenses on a weekly basis.
  • Analyze project profitability, revenue, margins, bill rates, and utilization.

Marketing, Communication and Customer Service (15%)

  • Effectively communicate relevant project information to all stakeholders.
  • Resolve and/or escalate issues in a timely fashion with all stakeholders i.e., potential clients/customers, staff, etc.
  • Communicate difficult/sensitive information tactfully.
  • Develop professional relationships with APIC members and SMEs and carefully navigate internal and external relationships.
  • Develop and maintain professional relationships with APIC clients and SMEs to facilitate deliverables and avoid potential problems.
  • Provide monthly/regular updates to the Grants & Development team.

Contract Administration (10%)

  • Manage contracts with vendors and suppliers by assigning tasks and communicating expected deliverables.

Knowledge and Skills required for the position

Education/Experience:

  • Bachelor's degree
  • Minimum of five years of relevant work experience
  • Proven project/program management skills
  • Strong familiarity with or willingness to learn project management software tools, methodologies, and best practices
  • Knowledge and proficiency with Microsoft Office products (Outlook, PowerPoint, Word, Excel)
  • Knowledge of learning management systems (LMS) and database management systems is a plus
