Position Purpose

The Storage and Inventory Assistant works independently to supervise, maintain and all aspects of storage operations and inventory within the Residential Operations department. Implements, maintains and troubleshoots the department's databases for management and tracking of storage. Helps to ensure smooth operation of Controlled Storage events at the end and beginning of every term. Acts as the departmental representative to respond effectively to students and parents on storage/inventory issues; articulates, informs and enforces storage policies; resolves conflicts as necessary. Works with Risk and Internal Controls to determine if reimbursement for lost or damage items is appropriate. Coordinates pick up and shipping of student items. Acts as key part of the Residential Operations team. Other duties as required. This is a one-year term position: November 2020-November 2021.

This position is a 12-month term position.

Key Accountabilities

Storage & Inventory - 50%

  • Works independently to maintain all aspects of storage operations and inventory within the Residential Operations department. Assists with the maintenance of Controlled Storage and Trunk Room storage facilities in all undergraduate residential facilities.
  • Assists with smooth operation of the Controlled Storage events at the beginning and end of each term.
  • Observes, analyzes and evaluates controlled storage procedures. Identifies opportunities to achieve efficiencies, recommends and oversees implementation of improvements as necessary.
  • Assists with the maintenance and inventory of these spaces, notifying students and others when items are not supposed to be in the space, discards items according to Dartmouth policy.
  • Coordinates pick-up and shipping of student items.
  • Investigates lost items, including moving boxes in the process.
  • Manages the shipment of private property. Assures property is adequately packed to minimize the danger of damage.
  • Works closely with Hinman Mail Center and outsourced private enterprises in the storage and shipment of student belongings.
  • Notifies students and others when items are not supposed to be in the space. Discards items according to Dartmouth policy.
  • Provides student access to storage rooms as needed.

Database set-up and management - 15%

  • Maintains inventory databases and systems for storage.

Customer Relations - 25%

  • Works with students, parents, and other constituents to determine if reimbursement for lost or damaged items is appropriate.
  • Articulates, informs and enforces Residential Operations storage policies and responds to questions from students, parents and others
  • Resolves conflicts as necessary using diplomacy and tact.

Department support - 5%

  • Maintains a current knowledge of departmental policies and protocols and assures that they are followed.

Miscellaneous - 5%

  • Removes items left in residence halls and stores them when necessary.
  • Moves student items to Controlled Storage areas as requested by Student Affairs or Residential Operations.
