Information Technology (IT) at Pew takes a proactive approach toward the use of technology to increase the organization's capacity for high-quality philanthropy. The department comprises highly competent, customer-oriented, forward-thinking professionals who are responsible for the technology needs of all Pew staff, as well as for Pew's subsidiaries. Information Technology is organized by areas of responsibility, including application development/operations, infrastructure engineering, cybersecurity, technical support, portfolio management, project delivery, business needs analysis, and solution recommendation. The department values collaboration and agility.

Position Overview

The Senior Associate Project Manager initiates, monitors, controls and closes out technology projects in a bi-modal - agile and traditional - project environment. This position works under the guidance of the Manager, Project Management, participating in all phases of the project lifecycle. The Senior Associate Project Manager must have a proactive, consulting approach in both problem-solving and customer service, focusing on successful project results - both in technical quality and with organizational change and system adoption. It requires significant use of initiative and independent judgment in managing projects with stakeholders from Pew's program and operations areas, as well as external consultants and third-party vendors.

The Senior Associate Project Manager, IT Project Delivery reports to the Manager, Project Management.


Responsibilities


  • Collaborates with relevant internal resources and third-party providers for the planning, implementation, testing, and tracking of projects and their defined deliverables. Identifies resource requirements and budgetary needs for successful project execution.
  • Manages the project plan, including creating and maintaining accurate timelines, milestones and dependencies. Supports project accountability and project team cohesiveness by establishing and conveying clear roles and responsibilities. Conducts effective project meetings, including soliciting discussion items, producing agendas, and managing meeting minutes, and related action items. Communicates assignments and expectations to project team members and tracks completion of project deliverables to ensure quality and integrity. Resolves project conflicts with assistance from the manager, director and/or officers of Project Management (as necessary).
  • Observes project management lifecycle practices and proposes process improvements. Works within pre-established guidelines and pre-defined templates to perform the required tasks. Can effectively manage projects executed via Agile Scrum or traditional methods.
  • Proactively identifies project risks and issues requiring resolution and recommends strategies and tactics to mitigate. Provides options and analysis of their impact to stakeholders and builds consensus around the mitigation approach.
  • Provides reports and communicates status updates to senior management and key stakeholders on a regular cadence. Plans and supports the change management and deployment activities of the project to the impacted staff.
  • Reviews and edits project deliverables, analyzes / interprets project requirements and makes recommendations as appropriate.
  • Leads Request for Proposal (RFP) process with internal resources and third-party vendors by managing and controlling proposal activities against the RFP schedule.
  • Establishes a collaborative, positive, and accountable project team environment.
  • Maintains necessary documentation and project artifacts in the project repository. Other duties as assigned


Requirements

  • Bachelor's degree in Computer Science or a related field required, or equivalent work experience.
  • 4+ years' experience with relevant project management, demonstrating progressively greater responsibility. PMP certification is preferred.
  • 3+ years' experience implementing enterprise-grade or software-as-a-service (SaaS) solutions.
  • 2+ years' experience managing third-party providers in the context of pre-defined project scope.
  • Experience working under tight deadlines, manage shifting priorities, and manage project change.
  • Robust oral and written communication skills; strong facilitation, interpersonal and client-facing skills.
  • Excellent organizational skills including attention to detail and multitasking.
  • PMI-ACP, Prosci Change Management, Scaled Agile Framework, or other professional project management or agile accreditation is a plus.
  • Familiarity with Smartsheet, JIRA, SharePoint Online, Microsoft Teams is a plus.


Travel
Occasional travel required between Pew's Philadelphia and Washington, DC offices. Minimal additional travel required to attend trainings, seminars or conferences.
