Recruiting Coordinator is an integral role supporting the recruiting and onboarding functions in Advancement, and contributes to the overall success of the Advancement team by providing high level of customer service, administrative support, and project coordination throughout the recruiting and onboarding process. Helps source and develop talent pools and a pipeline of highly qualified new employees for a variety of positions in Advancement.

ADMINISTRATIVE AND OPERATIONAL RECRUITMENT RESPONSIBILITIES

  • Assists in the recruitment effort for positions in Advancement and actively participates in interviewing, hiring and training of employees.
  • Working closely with the Director, participates in conversations with the hiring manager regarding recruiting and onboarding needs.
  • Ensures a great candidate experience, presenting a professional and positive image throughout the recruiting process.
  • Supports the pre-employment/onboarding process and works to provide an exceptional onboarding experience for new hires. This includes working with the Director and hiring manager to create a personalized onboarding plan.
  • Manages some of the new hire orientation and exit processing checklists.
  • Helps source and develop talent pools and pipelines of highly qualified new employees for a variety of positions in Advancement. This may include representing Dartmouth at local job fairs.
  • Assists in providing services related to management of human resources in the functional areas of staff recruitment, onboarding, workers compensation, benefits, training and development, staff communications, policies and office procedures, and related activities.
  • Develops advertising copy and strategy for position openings in Advancement. Places and monitors advertising.
  • Maintains and enhances an agency source list for recruiting exempt professional positions.
  • Identifies logistical arrangements needed for candidates, and coordinates with appropriate personnel to develop itineraries for interviews.
  • Prepares materials and correspondence for interviews and partners with the Director and Associate Director in all phases of the hiring process to enable departments to recruit and retain quality staff.
  • Provides guidance and advice on laws and regulations to ensure compliance of Dartmouth policies with employment law.
  • Consults with appropriate hiring manager to identify additional information to share with candidates.
  • Works with search firms to communicate decisions and coordinate candidate scheduling.
  • Briefs members running the search on changes in schedules and priorities, especially on matters needing personal or immediate attention.
  • Participates in pilot program projects that are designed to increase efficiency.

COMMUNICATION

  • Represents the department to internal clients and external applicants; communicates respectfully with a diverse community.
  • Drafts welcome letters, announcements, and emails related to recruitment and onboarding and initiates confidential payroll authorizations.
  • Prepares and distributes memos, correspondence, proposals and reports for the Director. Composes routine replies to inquiries and other correspondence.
  • Responds proactively to phone and mail inquiries for the Director and Associate Director.
  • Maintains confidentiality, especially with regard to sensitive personnel issues.
  • Serves as secondary point of contact for searches when the Director and Associate Director are unavailable, requiring in-depth knowledge of search process and status of applicants.

ADVANCEMENT PROFESSIONAL DEVELOPMENT AND STAFF EVENT BACKUP SUPPORT

  • Serve as backup support to coordinate sessions for the Advancement division's orientation activities. This may involve securing appropriate sites, arranging for necessary AV and other services, and working with other offices to coordinate schedules for luncheons, all-staff meetings and other Advancement events.
