The Industry Initiatives Department within NYCEDC seeks to understand the rapidly changing landscape of NYC's key economic sectors and develop and implement innovative industry programs to support their growth.

The Industry Initiatives department creates, launches and manages portfolios of projects that partner with and impact the following industries: fashion, emerging technologies, urban tech, sustainability, life sciences, healthcare, advanced manufacturing, and cyber security. Initiatives projects are agile, strategic and impact focused.

Your Role: The Initiatives Project Support Administrator is a vital member of multiple project teams who leads business-critical operations throughout the life-cycle of a project. They will work with project managers and counterparts across the agency to provide project support relating to procurement, contracting, payments, budget, and other operational tasks that help advance fast-paced, complex initiatives city-wide. The Initiatives Project Support Administrator will develop a strong collaborative relationship with multiple project managers, internal teams as well as external consultants, acting as the consultant contract lead to ensure that compliance and risk management best practices are maintained throughout the contract term.

Essential Duties and Responsibilities:
  • Acquire and maintain a thorough knowledge of NYCEDC and City Hall policies for procurement and compliance
  • Interface with contractors and consultants to ensure compliance with contractual obligations and required project documentation processes
  • Lead and efficiently manage all invoice payment processes
  • Liaise with multiple departments at NYCEDC including Contracts, Budget, Accounting, Legal, to facilitate contract executions, amendments, close outs and payments
  • Track project budgets and departmental finances and serve as liaison to Finance department for all budget-related requests
  • Draft and provide periodic contract updates to project manager team members
  • Develop mechanisms and standard operating procedures for streamlining procurement, contracting, and other critical project processes
  • Work closely with the Department Chief of Staff to support department operations, as needed
  • Other duties as assigned
Skills and Qualifications:
  • Bachelor's degree or equivalent with a minimum 1-2 years of professional experience
  • Strong command of Microsoft Office
  • Excellent Excel skills (data set management, pivot tables, etc.)
  • Extremely detail oriented and organized
  • Demonstrates initiative and works with sense of urgency
  • Exceptional communication skills, written, verbal, and interpersonal
  • Ability to independently handle multiple assignments and responsibilities
  • Demonstrated interest in or experience using project management methodologies and tools, operations
  • Experience with file management and milestone tracking
  • Strong aptitude for process-driven work
  • Knowledge or interest in NYC government and economic development
  • NYC residency within 180 days of hire
