Summary of Position

The Project Coordinator is an integral member of the talent team responsible for project activities and tasks of varying size and complexity. Project coordination ranges from organizing the talent service delivery processes, next steps for client delivery, as well as quality control related to Project* pipeline and processes, as well as data analysis on projects and program portfolio.

The Project Coordinator will support JobsOhio and the JobsOhio Network on all talent project management activities through effective collaboration and communication.

Duties and Responsibilities

The Project Coordinator, Talent Client Delivery is responsible to assist the team by ensuring the Project process is adhered to and the software system (Salesforce) is appropriately utilized during the process.

Intake, Vetting, Due Diligence and Structuring

  • Monitors the creation of Projects that may have opportunity for Talent Acquisition Services (TAS) and collaborates with entire team
  • Performs Project due diligence related to talent specific criteria
  • Conducts thorough Project record review in preparation for the Talent Structuring project meeting. Decides if Project is ready for meeting; indicating what information still needs to be completed, updated, modified etc. for productive structuring conversation
  • Coordinates with Project Team to ensure Project remains holistic and follows the Project through the project offer process and subsequent management of the project.
  • Monitors active offers made to companies and coordinates follow-up with Project and Talent team

Application, Approvals, Agreements

Collaborate with team and managing the process to ensure seamless TAS delivery to company.

  • Coordinates Application and Approvals
    • Coordinates with Project Team related to timing of application
    • Coordinates with Project Team to ensure Projects that include TAS are approved by JobsOhio's Independent Review Panel (and JobsOhio Investment Committee / Board if applicable)
  • Once Project TAS incentive is approved responsible to communicate approval and coordinate with talent team related to next steps
  • Coordinates TAS Agreement
  • Provides support to Account Manager(s) to ensure accurate documentation during TAS Plan development occurs
  • Responsible for coordination with Project Team and Talent Team related to drafting TAS JobsOhio Agreement including TAS Deliverables & Services Exhibit, as well as TAS subcontractors Statement of Work (SOW) for tactics outlined in plan
  • Responsible for communicating with internal teams managing TAS Agreement redlining process (working with JobsOhio Legal Team, Talent Team and Project Team), and routing final Agreement for signatures/execution; as well as, communicating with the Company, subcontractors and partners as necessary.

Closing and TAS Delivery

Works directly with Account Manager related to Company's TAS delivery

  • Coordinates with Project Team related to counting the Project as a Metric Win
  • Responsible to document activity with Account Manager related to servicing the Company in TAS delivery
  • Responsible for coordinating with internal teams related to compliance matters directly related to company metrics and performance.
  • Responsible for coordination of Amendments related to TAS Agreement (including communication among team, managing versions, tracking progress, final documentation)

  • Support the team
    • Creates, runs, and delivers accurate and timely reports (e.g., team agenda, TAS program portfolio etc).
    • Participates in design and drafts guidelines, program summaries, manuals, and develops instruction sheets and checklists.
    • Provides due diligence such as cross-checking job descriptions for accuracy, verification checks related to company job postings
    • Ensure Salesforce is utilized across the team and reflects current business processes
    • Assists with talent team engagement and communication across other JobsOhio teams and transparent communication among cross-functional teams (such as the Huddle, project team trainings, etc)
    • Other duties as assigned such as special projects

  • Proficient in Microsoft office products (Word, PowerPoint, Excel)
  • Self-motivated and quick aptitude
  • Exhibits a history for maintaining confidentiality of sensitive information

Education Requirements

  • Bachelor's degree strongly preferred (business, finance, economics, or related degree)

May require travel within the state of Ohio
