Essential Job Functions:
  • Processes and tracks all purchases from order to payment. Monitors and tracks budget.
  • With Program Director/case coordinator: coordinates grant course schedule and insures that program supplies, materials, textbooks, equipment purchases are set-up and maintained as necessary. Assures quality and timely delivery of scheduled grant funded courses by working with staff to coordinate all aspects of course delivery.
  • Maintain databases, spreadsheets, and project files according to SJCCD and funding agency requirements.
  • Primary point-of-contact that must respond appropriately to participants, potential participants, affiliated organizations, other educational organizations, partners, etc. in a timely manner.
  • Must be flexible and comfortable in dynamic environments where immediate response may be required.




Additional Job Functions:
  • Willing to reorganize priorities.
  • Flexibility to work outside of regular business hours as needed.
  • Coordinate event planning and preparation for grant participants.
  • Other duties as assigned.




Knowledge, Skills and Abilities:
  • Proficient in Microsoft Office Suite.
  • Verbal/written communication.
  • Strong time management skills focusing on deadlines.



Required Education:
  • High School Diploma degree




Required Experience:
  • 2 years of related experience administrative assistant.
  • Previous experience with higher education (grants in particular).
  • Previous experience in a training environment.
  • Experience with state purchasing process, tracking expenditures, and monitoring budgets.




Preferred Experience:
  • Five years of training experience in field of grant project.
  • Website/social media development and maintenance.
  • Bilingual applicants encouraged to apply.


Salary Grade: $15.00

Salary is based on the Board-approved salary schedule for the current fiscal year. See Salary Schedule
