To help improve the health, welfare, and self-sufficiency of people in need in the Northern Deanery of the Diocese of Colorado Springs. To help ensure effective and efficient functioning of the Castle Rock office through friendly and professional administrative assistance.

Success in this position means effectively supporting all Client Services activities at the Castle Rock office. The ideal candidate will be professional, well organized, and comfortable working in an environment where daily tasks can vary day-to-day based on client volume and degree of needs.

Essential Duties

  • Receive anyone who enters the office in a friendly and professional manner, determine their needs, and take appropriate steps in response. Verify/update existing client information and input new client information in the EmpowOR system. Make referrals to case managers as appropriate.
  • Answer incoming phone calls, retrieve messages, and return calls as needed.
  • Coordinate with outside agencies to provide client services such as motel vouchers, shower vouchers and client referrals.
  • Provide administrative support for the Regional Executive Director and all other staff members such as appointment scheduling, preparing for meetings, creating presentation materials, etc.
  • Coordinate and train volunteers on office procedures including greeting and screening clients, verifying EmpowOR system information, making referrals to case managers, and observing confidentiality and safety protocols. Supervise volunteers, assign tasks, and ensure volunteer hours are documented in the Better Impact system.
  • Help obtain information from clients, such as survey responses or client services applications.
  • Receive and process incoming donations, keep records sufficient for required management reports and help with file organization and other general office duties.
  • Assist in community outreach and educational activities such as Strive to Thrive and other events or presentations, and represent Catholic Charities within agency guidelines in the community.
  • Participate in on-going training and professional development including occasional off-site trainings and webinars. Remain current on updates and new information regarding the agency's programs and services.

Competencies

  • Proficiency in use of the Microsoft Office suite.
  • Detailed and strong time management and organizational skills, with ability to prioritize multiple important tasks and meet deadlines.

Work Environment

  • A majority of the assigned duties are performed in an office environment.
  • The employee is subject to both inside and outside environmental conditions.

  • H.S. diploma/equivalency.
  • Experience working with people in a public capacity.
  • Experience working in a professional administrative/operations environment.
  • Advanced proficiency in Spanish and fluency in English (verbal and written) preferred.
  • Demonstrated self-starter and ability to work independently with little supervision and collaboratively within a team.
  • Demonstrated responsiveness and sensitivity to cultural differences. Ability to apply culturally appropriate skills in interactions with clients, co-workers, volunteers, partner agencies, and other community members.
  • Excellent communication (verbal and written), problem solving, listening, and interpersonal skills, with the ability to form and maintain positive work relationships.
  • Ability and willingness to work within the established structure of Catholic Charities and the Castle Rock office.
  • Occasional evenings and weekends are required to accommodate meetings and special events.
  • Valid driver's license and reliable transportation.

Compensation

The salary for this position is $17.34. Salary is determined based on the applicant's incoming skills and experience, and the budget at time of hiring.

Position Classification

Nonexempt

Part Time: 20 hours per week

Schedule: Monday - Friday
