Overview

The Membership Specialist I contributes to the departments annual membership goals. The position assists with the development, implementation, and tracking of membership recruitment and retention campaigns. The position coordinates direct mail with our external vendor, including mailing lists, product revisions, and inventory management.

The Membership Specialist I organizes engagement activities to help strengthen the APIC-member connection. This includes membership activities at APIC events and reaching out to new members after six months to gauge satisfaction and address concerns.

The position provides member support by advancing the new Organizational Membership program. The Membership Specialist I also works with the Member Services Committees by providing monthly outreach lists and responding to member questions. They contribute to providing quality member service, creating innovative solutions, and positively impacting APICs membership growth.

Major Duties and Responsibilities

Marketing (35%)

  • Work with Senior Director, Membership to develop, implement, and track membership recruitment and retention campaigns.
  • Coordinate mailing lists for direct mail. Work with external vendor to process files.
  • Assist with creation and update of membership marketing materials. Oversee inventory with external vendor.
  • Manage Member-Get-A-Member campaign to grow annual new member count and recognize participating members.

Engagement (30%)

  • Assist with development and execution of year-round engagement activities to enhance value of APIC membership and increase retention. Identify new opportunities to support members.
  • Coordinate check-in campaigns, including 6-month outreach and database updates.
  • Monitor onboarding activities and adjust as needed to maximize results.
  • Support membership events at APIC conferences, including APIC Central.

Member Services and Support (25%)

  • Assist with management and growth of Organizational Membership program.
  • Develop and distribute monthly outreach files to Member Services Committee.
  • Support committee and member group meetings as needed.
  • Provide exemplary customer support, including identifying and resolving technical/IT issues both member facing and internal.
  • Manage inquiries across all communication channels.
  • Maintain member/customer accounts in the database(s).
  • Adhere to APICs data entry standards.
  • Clean up data including duplicates as needed.

Additional Projects (10%)

  • Assist with APIC Volunteer program.
  • Update Membership pages on APIC.org.


Knowledge and Skills required for the position

Education/Experience:

  • High school diploma with some college-level learning preferred
  • 1-3 years experience in membership, marketing or customer service, preferably in a non-profit setting
  • 1-3 years experience with database management

Knowledge, Skills, and Abilities:

  • Intermediate knowledge and proficiency with Microsoft Office products (Outlook, PowerPoint, Word, Excel, Teams) to produce documents, spreadsheets, presentations, and reports. Experience with iMIS or similar systems is a plus but not required.
  • HTML proficiency is a plus.
  • PropFuel experience is a plus.
  • Experience working multiline phone systems.

  • Results oriented ability to prioritize and work at fast pace to meet critical deadlines.
  • Written and Oral communication ability to communicate information in a clear and concise manner with individuals at all levels, including: members, volunteers, vendors, and APIC staff.
  • Ability to work individually and as part of a team.
