SmithBucklin, a 100 percent employee-owned association management company, is looking for a Membership & Operations Associate to join our Healthcare & Scientific Industry Practice in Chicago, IL. The Healthcare & Scientific unit offers unmatched association expertise and specific knowledge of the issues, challenges, and actions distinctive to the changing healthcare environment. From legislative and regulatory advocacy, to building successful professional relations programs and understanding the intricacies of journal publishing and management issues, our association professionals bring extensive experience and considerable knowledge of the issues unique to healthcare-related associations. The Membership & Operations Associate plays an integral role in supporting and guiding the nonprofit volunteers and members from our client healthcare organizations.

What You Will Do

  • Provide front-line service management for certificants and prospects, including e-mail and phone inquiries
  • Assist with client service inquiries as related to client database needs (i.e., application inquiries, website log-in credential inquiries, product order requests, etc.)
  • Support weekly financial reporting, such as wire and check processing
  • Process and update client association data in the database
  • Process client product orders, such as educational products, or online products.
  • Process certification pin mailings
  • Provide support in scheduling client meetings/conference calls
  • Complete additional administrative projects as assigned

  • You demonstrate exceptional service management, organizational, and administrative skills
  • Have experience in managing high volumes of administrative requests
  • You have patience and the ability to maintain composure on difficult calls and recognize when to escalate a call to a supervisor
  • You exhibit strong written and verbal communication skills, with excellent attention to detail
  • You display excellent interpersonal skills and are flexible, with the ability to shift gears effectively and efficiently
  • You have the ability to juggle several assignments at once and problem solve autonomously
  • You resolve problems by clarifying the member's complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting corrections or adjustments; following up to ensure resolution.


  • Bachelor's degree from an accredited four-year institution or
  • 0-2 years of relevant professional experience
  • Proficiency with basic computer programming, including the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Data entry/database management experience is a plus
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience using computers while working with customers is a plus
