Manager, Financial Aid Systems and Application Processing - Central Campus

Essential Job Functions:
  • Supervise, coordinate, and direct a diverse, high-performing team responsible for the full life cycle (verification, packaging, SAP and Return to Title IV calculation, and mass communication) of all financial aid applications received and administered by the College.
  • Create, implement, and troubleshoot financial aid system and business processes to ensure compliance with federal, state, and institutional regulations and guidelines while leveraging new technologies or methodologies as they become available.
  • Schedule and test maintenance releases and defect resolution updates for all systems used by the department including test plan creation and end-user acceptance training.
  • Oversees multiple special projects annually in support of the institution's strategic goals including working independently and as part of integrated teams to identify and create business requirement documents in support of projects and process improvement.
  • Maintain and create all mass communication campaigns for department to include creation and maintenance of communication templates, using SQL to identify target populations, and leveraging multiple systems to support automated processing.
  • Collaborate with financial aid managers and student services leadership to ensure consistent and uniform application of all functions, processes, and services within financial aid across the College.
  • Maintain all process documentation for department.
  • Recruit, train, and evaluate team in accordance with institutional and federal policies and procedures.

Additional Job Functions :
  • Act as liaison between Financial Aid Department and internal or external entities to include: the Department of Education, The Texas Higher Education Board, other college and university administrators and internal department representatives.
  • Represent the College in various committees, professional seminars, industry conferences and conventions at the state and national level.
  • Maintain web content of department's site.

Salary Grade: 25

Knowledge, Skills and Abilities :
  • Demonstrate a comprehensive knowledge of current financial aid regulations.
  • Team-oriented with the ability to work well with other staff and faculty members in the development and administration of programs within financial aid as well as throughout the college.
  • Excellent oral & written communication, interpersonal, organizational and presentation skills.
  • Possess personal computer literacy and knowledge of database programming languages such as SQL
  • Ability to safeguard sensitive and/or confidential information from intentional or unintentional disclosure. Understand and communicate the institution's interpretation of FERPA.
  • Ability to interview, select, train, supervise, and evaluate a diverse population of personnel.
  • Ability to provide feedback, support, and encouragement to staff members.
  • Strong interpersonal skills to support effective interaction with students, parents, faculty, staff, administrators and the general public.
  • Must have the ability to devise and/or adapt procedures/policies to changing organizational needs.
  • Great ability to prioritize heavy workloads and multi-task to meet tight deadlines.
  • Must be able to anticipate problems and take appropriate action to meet needs or prevent problems from occurring, as well as organize, direct and coordinate functions and tasks within a limited timeframe.

Required Education:
  • Bachelor's degree in Business Administration, Computer Science or other related field.

Preferred Education:
  • Master's degree

Required Experience:
  • 3 years of extensive experience working with a computerized student services system.
  • 3 years of proven managerial experience.

Preferred Experience:
  • Experience in managing and upgrading the Ellucian Banner Financial Aid Module.
