Inside This Business Group:

The General Affairs group at SSI provides support directly to SSI Management in areas such as EH&S, Building Operations & Maintenance, Construction, and providing Services in various areas for our employees. Examples of the services we provide include management for the Caf, Gym, IWMS system administration, mobile and lease for dispatchers, affiliate lease, and etc.

Overview & Impact:

For this role, daily operation includes daily administration of the IWMS system (Archibus) in monitoring the workflow through multiple modules in the system. This role will work closely with all GA teams to facilitate communication across SSI teams and Archibus business provider and deliver training and documentation (user guide and exported reports for data) for both internal users (GA team members) and the end users (employees). This person will also play an active role in development projects in various Archibus modules/applications.

Job Responsibilities:

• Overall support of IWMS administration and operations of the General Affairs (GA) group.
• Principle Functions:
• Daily administration of the system to monitor, reconcile, and assign work request tickets and provide guidance to SSI teams to improve efficiency and optimize the operation processes.
• Support teams to utilize the system functionalities and assist in troubleshooting errors and issues reported by SSI employees.
• Assist with planning and improving strategies of GA operations by presenting metrics, reports, and knowledge of system features.
• Guide teams through different modules being implemented and provide training and create training materials for internal use.
• Assist the affairs related to the efficient operation of facilities and resource management by collaborating with affiliates and partners.
• Develop and build professional relationship through conducting meetings with business partners to maximize the utilization of Archibus for SSI.
• Deliver efficient communication and announcements to SSI employees.
• Provide support to maintenance operations by generating and maintaining scheduled PMs, forms, reports, and logs.
• Manage moves with technicians and assist in space planning.

Qualifications & Required Skills:

• Bachelors degree in Information System, Computer Science, Engineering or related fields
• System Administrator experience using Archibus or various IWMS software
• Solid knowledge of system operation and data management
• Familiarity with facilities, building management/maintenance, and office services functions, with direct experience in a facilities department preferred
• Conceptual knowledge of AutoCAD
• Strong problem solving and analytical abilities
• A solid understanding of space management processes and techniques
• Industry-related experience or technology implementation experience
