The Gifts & Grants Specialist is responsible for supporting the administration and execution of the Foundations Gifts and Grants processes. The Specialist is also responsible for reporting and other administrative activities. This position requires attention to detail, building and maintaining relationships, strong computer skills, the ability to understand compliance nuances, and the capacity to navigate competing priorities.


Gifts & Grants Transactions (70%)

  • Support and assist in the processing of Donor-Advised Funds, Discretionary (responsive, directed, etc.), Designated Programs, Scholarship, Technical Assistance, and Field of Interest grants, and ensure that grantee and grant information is maintained in appropriate systems
  • Support and assist in the processing of gifts received by the Foundation and gifts made in recognition of someone or something
  • Support the maintenance, improvement, and efficiencies of online gift and grantmaking systems, process documentation, and back-end workflows
  • Utilize Community Suite, GLM, and SLM systems for all gifts and grant processing while maintaining strong data integrity and following program techniques and procedures
  • Support the timely and efficient processing of gifts and grants through data maintenance, due diligence, investigation of uncashed checks, void & reissue assistance, and electronic payment enrollment

Compliance & Reporting (15%)

  • Verify 501c3 tax status, through IRS Business Master File and/or GuideStar Charity Check, and contact information for recommended grants and scholarships, update the database accordingly
  • Confirm legality of grants based upon advisor, purpose, and use of the grant, and available funds
  • Collect and file grant request documentation, approvals, tax documents (W-9, Tax Form 990, etc.), and reports
  • Process grant award notifications, acknowledgment letters, tribute cards for gifts, and other related communications

Administrative Support (15%)

  • Provide customer support and assistance to the Foundations donors, scholars, and grantees
  • Assist with answering questions from nonprofit organizations, universities, and fund advisors on grant transactions
  • Support the Finance & Accounting team in providing excellent customer service across the Foundation
  • Administrative support for the Finance & Accounting department including document preparation, mailing logistics, and occasional delivery of time-sensitive payments
  • Manage logistics and preparation for Investment, Finance, and Audit committee meetings, team meetings, and reports; including working with the groups leadership to prepare materials, take minutes, and coordinate outside vendors
  • Facilitating technical needs for in-person, virtual, and hybrid meetings; including meeting room technology, Zoom host responsibilities, room reservations, setup, and clean up
