Facilities Specialist

About the Position

Responsible for assisting the Facilities Manager with the planning, development and monitoring of activities for general facilities areas that support the credit union mission and function. Prepares reports, researches, identifies and recommends potential suppliers. Additionally, this position provides support to the Facilities Manager in the areas of space planning, work order maintenance and reporting and maintains occupancy information in all LGFCU and Civic buildings.

Normal Day-to-Day Work
  1. Provide support in facilities management methodology and practices including site maintenance, physical security, health & safety, space planning, environmental sustainability, business continuity, records management and other work environment priorities.
  2. Create and track work requests in an automated database. Collect and quantify detailed facility assessment information at each location, identify immediate replacement and repair actions, and prepare budget estimates to capitalize aging equipment as necessary.
  3. Collect and support staff/tenant inquiries in an expeditious manner, enforce and update building standards as outlined at each respective facility, identify facility and control system deficiencies, and recommend upgrades to enhance equipment reliability, overall safety, and security for the credit union.
  4. Responsible for managing daily facility operations, maintenance and repair actions on equipment, systems, and grounds throughout credit union facilities.
  5. In coordination with Facilities Manager and Risk Management assist in maintaining up-to-date Emergency Procedures and business continuity documents; assist with Emergency Notification System tests, registrations and records.
  6. Assist with onboarding new staff in relationship to facilities access, space planning and coordinate with HR and IT on any special requirements.
  7. Operate facility personnel Access Control Systems (ACS) and facility personnel identification and badge systems.
  8. Conduct periodic building inspections under the direction of the Facility Manager/Building Manager for condition, health, safety and security deficiencies utilizing designated checklists.
  9. Liaison with tenants for routine and non-routine support of common facilities related matter. Perform other Facilities Services duties as assigned by Facilities Manager.

Job Qualifications

Here are a few skills you MUST have to be considered for this position.
  1. 1 - 3 years' experience with Facilities Management and supporting various facilities related areas.
  2. Familiar with Occupation and Safety and Health Administration (OSHA) regulations.
  3. Proficiency in computer usage and expertise in the Microsoft Office Suite of tools and Facilities Management Systems.
  4. Must be able to be on-call as needed 24/7.
  5. Ability to function in a Consumer business office environment and utilize standard office equipment, including, but not limited to: PC, copier, telephone, etc.
  6. Must be able to lift a minimum of 50 lbs. (file boxes, computer, printer), and engage in potentially strenuous activities associated with management of facilities.
  7. Travel required on occasion.

  1. Bachelor's degree.
  2. Familiarity with the building project management and construction.
  3. Capable of working in a high-operational tempo environment and can work independently.
  4. Ability to adapt to different people, situations and changing priorities with grace and flexibility as well as demonstrating an appropriate sense of urgency.
  5. Knowledge of HVAC controls, basic plumbing, electrical, furniture and seating.
