Overview

World Wildlife Fund (WWF), one of the world's leading conservation organizations, seeks an Executive Assistant for US Country Office and Latin America and the Caribbean (LAC) Secretariat. This role provides high level administrative support to the Senior Vice President, US Country Offices and LAC Secretariat. This position requires the ability to handle complex administrative tasks with a high degree of planning, organizing, confidentiality and attention to detail. The Executive Assistant operates with considerable independent judgment and initiative and contributes to the efficient and successful functioning of the Country Offices Support Unit.



Responsibilities

  1. Coordination and Scheduling: Coordinates and maintains Executive's calendar to optimize time and to facilitate the exchange of information. Coordinates all aspects of meetings, travel, trainings, and other events. Determines the nature of appointments and helps obtain the necessary background materials. Delegates assignments to other staff at the request of and on behalf of the Executive. Monitors deadlines follows up on delegated tasks, and provide appropriate reminders. Coordinates any mailings or other distributions of information from the Executive, both internally and externally. Coordinates Senior Vice President meetings including preparation of agenda and materials..
  2. Communication and Representation: Makes high-level contacts of a complex and confidential nature both inside and outside the organization. Answers complex inquiries requiring detailed knowledge of department procedures. Screens, routes, and answers phone calls and, and responds to routine and non-routine requests with discretion. Attends internal and external meetings as needed and provides appropriate summaries and follow-up.
  3. Document review and preparation: Drafts letters, memoranda and prepares background materials. for meetings. Proofreads and edits documents, reports, proposals and presentations. Assists with preparation of proposals and presentations. Prioritizes incoming mail and documents, notes items of interest, and redirects mail to appropriate staff for further action.
  4. General office and administrative support: Provides general administrative support, including note taking at meetings, typing, faxing, photocopying, distributing materials, ordering publications, and requisitioning office supplies. Maintains complex files and file record for the department. Prepares travel expense reports.
  5. Performs special projects and other duties as assigned.


Qualifications

  • Must have a high school diploma. A bachelor's degree is preferred
  • Must have at least 5 years of demonstrated and progressively responsible experience in administrative positions, including two years in an executive office.
  • High degree of knowledge, competence, and secretarial skills, including good organizational and analytical skills.
  • Ability to operate with considerable independence, take initiative, prioritize, and meet deadlines.
  • Effective writing ability necessary to prepare and edit correspondence and other documents. Excellent interpersonal skills requiring courtesy, tact and diplomacy necessary to effectively communicate with staff, callers and visitors.
  • Ability to operate standard office machines and equipment, including computers, fax machines, copiers, and telephone system.
  • Must be willing and able to travel 10-15% of the time
  • Must be fully bilingual English-Spanish, with excellent oral and written communications skills in both languages.
