Events Assistant


The Boston Athenum seeks a full-time Events Assistant to join the Events team. Reporting to the Director of Events, the Events Assistant has the primary responsibility is to provide administrative support for the Events department, including event planning, implementation, and facility rentals. The incumbent must be able to work effectively independently, have the ability to make thoughtful decisions quickly during the course of a program or rental, and work cohesively within a collaborative team.


RESPONSIBILITIES

  • Organize and maintain accurate records for the departments activities and programs

  • Serve as a liaison between the Events and Communications departments to compile event information for print and digital marketing materials

  • Assist in the planning and implementation of Athenaeum programs across the organization

  • Work cross-departmentally to contribute to formative and summative evaluation of events and programs

  • Support the registration and confirmation of attendance for events and programs

  • Help maintain shared events calendar

  • Support guest lecturers and entertainers with program logistics

  • Support event set-up and clean-up

  • Support the Athenaeums facilities rental program

  • Perform other duties as assigned by Director of Events


QUALIFICATIONS & REQUIREMENTS


  • One or more years experience in a similar position or equivalent experience

  • Hospitality or event planning experience strongly preferred.

  • Ability to energetically assess and anticipate needs and be a flexible problem solver while maintaining a positive demeanor

  • Excellent communication, organizational, and multi-tasking skills with an emphasis on attention to detail and conscientiousness

  • Ability to work both independently and in collaboration with others in a highly professional manner

  • Strong customer-service and interpersonal skills

  • Flexibility in schedule with the ability to work frequent evenings and weekends

  • Proficiency with Google Workspace; comfortable with learning new technology

  • Experience with a constituent records management database such as Salesforce preferred

  • Commitment to fostering a workplace culture of teamwork, diversity, and inclusion

  • Submit to and pass background check, including criminal history, personal references, employment verifications and Registry of Motor Vehicles (if applicable)
