Remote Flexibility

While this position must be located in Denver/Boulder metro area, the role will have the flexibility to work remotely up to 75% of the time.

Position Reports To

Senior Vice President of Meetings and Events

General Purpose

This position supports the department with planning of Brewers Association (BA) and American Homebrewers Association's events and is responsible for creating, maintaining, reporting of event registrations for conferences. It provides heavy administrative support to and coordinates with all members of the department. This position requires someone with strong organizational skills, excellent attention to detail, strong written and verbal communication, who is self-motivated and able to prioritize multiple tasks and enjoys having many balls in the air.

Essential Duties

- Build and report on event registrations in registration system (currently Aventri) including but not limited to: Setting up registration sites, proofing, testing, assigning comp codes, badge coordination with American Trade Show Services, creating credential boards for security team, and overseeing onsite registration area at events

o Coordinate staff ticket and badge requests for events (not to include GABF ticketing via AXS).

- Assist event department with incoming/outgoing front-line communication, including emails and phone calls. Answer email correspondences relating to events within 48 hours

- Act as Finance Department liaison including but not limited to:

o PO submissions

o Invoice Submission & Tracking

o Stipend Coordination work with Event Manager to transition to coordinator in 2022

- Coordinate event supply orders, including but not limited to, glassware, badges, wristbands, lanyards, cups, bags, gifts, giveaways and wearables

- Coordinate signage orders for all events

- Coordinate exhibitor Thank you notes to drop at CBC

- Coordinate medals/awards orders for World Beer Cup and Great American Beer Festival

o Coordinate post award ceremony medal shipping

- Assist with compliance requests for use of GABF and WBC trademarks

- Coordinate with Creative Department on event guides/maps

- Coordinate with Events department to create timelines for all events

- Manage inventory of supplies after each event

- Record departmental and committee meeting notes

- Assist Event Manager with Board of Director meeting arrangements

- Assist Event Manager with individual and exhibitor communications related to event updates

- Assist Event Manager with pre and post-event communication for all events

- Assist Event Manager with World Beer Cup & Great American Beer Festival Judge receptions and Brewers Gathering

- Assist Event Manager with creation of staff schedules for events

- Assist with Creative and Web basecamp requests, as needed

- Assist with event website updates, as requested

- Create Wufoo forms for a variety of needs, as requested

- Coordinate with Sr. Event manager to place orders for beer service equipment

- Work closely with Event and Ops Managers on logistical and operational aspects of BA events and keep supervisor informed of all projects being managed

- Assist with pre-event communications, registration and onsite logistics for National Accounts Craft Expo and Draught Beer Quality Workshop, as needed

- Provide the department with miscellaneous administrative assistance

- Work with GABF/WBC cellar manager to determine sorting box and materials inventory, and order replacement inventory as needed

- Act as daytime competition sorting database admin: troubleshoot sorting issues, entry discrepancies, oversee volunteer sorting crew use of tablets & scanners

- Assist Sr. Event Manager with contacting competing breweries regarding problem beers (broken/short shipments, unregistered beers, entry information discrepancies, etc.)

- Assist Sr. Event Manager with beer receipt/inventory updates to competing breweries regarding missing entries or disqualified entries sent in after deadline

- Assist Sr. Event Manager with brewery award ceremony communications & forms

- Assist Event Manager and Cellar Manager onsite at HBC as needed

- Post Competition (GABF, WBC, NHC) Inventory & Ordering of Supplies

- Assist with answering communications via WBC@ & GABF@

- SQL Server knowledge preferred

- Ability to lift items weighing less than 50lbs.

- Great American Beer Festival in Denver

- Craft Brewers Conference/World Beer Cup

- Homebrew Con

- 1-2 site visits to future event locations per year
