The Editorial Specialist I will support the Practice Resources department, with the primary focus on supporting the complete update of the APIC Text Online and subsequent chapter updates. This includes working with the Senior Content Manager in coordinating the work and communicating with the Clinical Editors, Associate Editors, authors and reviewers. Responsibilities will include posting completed chapters to the APIC Text platform and occasional proofreading chapter updates. The Editorial Specialist I is the primary liaison to our customer service team, triaging customer requests and coordinating communication between customer service, IT, and Accounting. This position supports the other initiatives of the Practice Resources department, including the Policies and Procedures Resource Library, books, or other content in an administrative and editorial role, as needed.

The Editorial Specialist I works in collaboration with the Practice Resources department, and with other APIC staff, members, Clinical Editors, Associate Editors, editorial panels, and task forces to help maintain the APIC Text, so it will support the infection prevention profession and provide value to APIC membership as well as revenue growth to support APIC and its activities. This position supports the goals and mission of APIC.

This is a local or remote position. Local candidates are defined as a person having a legal residence in DC, MD, or VA and lives within 75 miles of our HQ in Arlington, VA. Local candidates will have telework options available up to five days per week. Remote candidates are defined as candidates are those that live outside the definition of a local candidate. Remote candidates work from home five days per week. All employees of APIC are expected to attend meetings in person as needed, be it at our HQ in Arlington or for travel.

Major Duties and Responsibilities:

Editorial and Content Work (30%)

  • Prepares manuscripts for the production process
  • Manages iThenticate reviews for each chapter, providing context to the Clinical Editors, authors, and editors for the iThenticate reports, and recommending appropriate courses of action.
  • Posts updates to APIC Text via content management system and performs other CMS maintenance tasks for APIC Text content (such as posting changes provided by Clinical Editors).
  • May include proofreading and other editorial tasks

Author / Reviewer Coordination (25%)

  • Coordinates preparing and distributing author agreements, conflict of interest statements, and honorarium payments.
  • Supports the Clinical Editors and editorial panels activities, including meeting arrangement and follow up communications with Clinical Editors, authors, and reviewers.
  • Assists in coordinating and distributing editor/reviewer chapter comments and materials
  • Provides additional assistance to Clinical Editors and editorial panels as needed

Books and Other content Support (20%)

  • Supports Policies and Procedures Resource Library
  • Ad hoc editorial support for books and other content, including proofreading.
  • Obtains copyright permissions for artwork, illustrations, and other materials reused in the APIC Text or other content.
  • Contributes to department activities by actively collaborating with team members to continually improve processes and programs, enhance quality, improve outcomes, and foster positive staff and external relationships.

Customer Service (25%)

  • Primary liaison to customer service team for Products-related items, including APIC Text renewals and subscription questions. Inventory management and runs sales reports.

Knowledge and Skills Required for the position:


  • High School Diploma with some years of college preferred with concentration in English, Journalism, or related studies.
  • 1-3 years of editing and project management experience, preferably in an association or non-profit setting.

Knowledge, Skills, and Abilities:

  • Project management experience in a publishing environment.
  • Excellent copy editing and proofreading skills.
  • Superior project management skills.
  • Knowledge of digital and print publishing processes and systems.
  • Good working knowledge of Microsoft Word, Access, Excel, PowerPoint, Adobe Acrobat Pro, and Teams.
  • Experience with content management systems, iMIS (or other association management system), and Google Analytics.
  • Ability to meet deadlines.
  • Attention to detail and outstanding organizational and problem-solving skills.
  • Excellent oral and written communication skills. Commitment to teamwork a must.
  • Ability to work with and maintain the confidentiality of data and information.
