ESSENTIAL JOB FUNCTIONS

The Boston Athenum seeks a mission-driven individual with fundraising experience and a strong interest in developing effective and efficient systems to nourish a growing development operation.


The Development and Membership Coordinator will be an integral part of the Development team and will take the lead on maintaining the accuracy of the donor database, overseeing the organizations gift entry and acknowledgement process, researching donor prospects for annual and major giving, and supporting the planning and execution of institution-wide fundraising and stewardship events.


This role implements strategies to engage current and prospective donors, contributes to fundraising opportunities, and implements best practices to optimize the BAs internal database. A team player and a self-starter, the Development and Membership Coordinator is able to support or jump into new projects quickly, think creatively, and manage day-to-day tasks to meet near- and long-term goals.


The ideal candidate is a keen writer, resourceful, detail-oriented, and an efficient multi-tasker, with demonstrated project management and communications skills. The Development and Membership Coordinator reports directly to the Chief Development Officer and works collaboratively with all members of the Development and Membership team.


RESPONSIBILITIES


The Development and Membership Coordinator will work with members of the Development and Membership team to meet or exceed annual revenue targets. Participates in the creation, planning, and implementation of new and existing strategies.


Administrative

  • Regularly reconcile donations, pledges and financial records with the Accounting and Finance office. Assume quality control functions to ensure that gifts have been entered and allocated appropriately.

  • Opens, sorts and distributes department mail

  • Monitors general email and voicemail

  • Inventories supplies and replaces as necessary

  • Maintains all accounts and postage, scans and files all correspondence generated by the Development Team.


Donor Relations

  • Responsible for drafting, revising, mailing, and tracking effective acknowledgement letters, proposals, visit briefings, presentations, reports, pledge agreements and reminders, and donor correspondence.

  • Project manages the meetings of Board Committees for Nominating and Governance and Advancement Committees.

  • Supports the work of the Annual Giving Officer by assisting with the creation of welcome materials for new Proprietors of the Boston Athenaeum and maintaining a historical database of shareholders.

  • Regularly reaches out to lapsed proprietors to secure annual assessments.

  • Participate in relationship-building with donors, patrons, and guests as appropriate.


Systems/Operations

  • Create, run and ensure accuracy of weekly and monthly reports.

  • Manage prospect research tools including serving as the admin for WealthEngine; Research donor prospects and make qualified suggestions for new annual fund and special campaign prospects.

  • In collaboration with the events team, project manage donor and membership-focused events. Oversees the mailings, registration, logistics, volunteer management, tracking attendees and reporting as it relates to fundraising and membership objectives

  • Develops a strong proficiency in our donor database, Salesforce, to become a primary resource for any database questions or requests, including improving procedures for donor strategy.

  • Updates outdated development and membership operations and processes documentation


QUALIFICATIONS & REQUIREMENTS

  • Excellent verbal and written communication skills.

  • Demonstrated skill with data management systems and analysis; experience with Salesforce.

  • Strong project management skills and the ability to create and implement processes.

  • Ability to exercise good judgment, confidentiality, and discretion.

  • Ability to work collaboratively and independently inside an organization and with external constituencies.

  • Proficiency in GSuite

  • Proven attention to detail and conscientiousness.

  • Action-oriented and adaptable problem-solver with the ability to exercise professional judgment to find solutions to challenges as they arise

  • Ability to manage multiple projects and deadlines and to work well under pressure.

  • Commitment to fostering a workplace culture of teamwork, diversity, and inclusion.

  • Submit to and pass a background check, including criminal history, personal references, employment verifications and Registry of Motor Vehicles (if applicable).

  • Bachelors degree required.

  • 1-3 years experience in development.
