Position Summary

The Coordinator, Clinical Affairs will provide administrative functions to effectively support the Associate Dean, Clinical Affairs in the oversight of clinical partnership strategies with Chicago Medical School (CMS). They will also support internal and external stakeholders in regard to strategic efforts to advance the breadth and depth of CMSs clinical partnerships; including, coordinating special projects and the development and management of affiliation agreements. Further duties include; processing affiliate payments, maintaining all departmental files, maintaining databases, and working collaboratively with other departments across the University. The Coordinator, Clinical Affairs is responsible for establishing procedures and systems to streamline program efficiency.

Rosalind Franklin University of Medicine and Science (RFUMS) is a five-college graduate health sciences university dedicated to the interprofessional education of health and biomedical professionals. Chicago Medical School, the original college of the five, has been educating physicians and furthering biomedical research for more than 100 years. Essential Duties & Responsibilities
  • Schedule and facilitate meetings for the Associate Dean of Clinical Affairs, including, travel and lodging as well as meeting logistics and coordination with internal and external stakeholders. Attend meetings as requested.
  • Provide administrative support to the Associate Dean of Clinical Affairs and affiliate clinical partners to maintain timely operational efficiency.
  • At the direction of the Associate Dean of Clinical Affairs, act as a liaison between clinical sites and CMS, and routinely accompany the Associate Dean of Clinical Affairs on site visits.
  • Address emergent issues and facilitate resolution of such to ensure smooth operations for clinical partnership activities.
  • Oversee action items and provide follow-up and status updates to Associate Dean, Clinical Affairs as well as internal and external stakeholders.
  • Coordinate and create departmental communications and correspondence including; meeting minutes, e-mail, letters, reports, papers, PowerPoint presentations, spreadsheets, forms, etc.
  • In collaboration with the CMS Deans Office, manage the clinical affairs and affiliate budget by preparing reports, documents, and correspondence as well as reconciling and submitting expenses.
  • Assist in the development of publications, newsletters, as well as updating InSite and CMS/RFU website pages relating to CMS clinical affairs.
  • Responsible for the data entry of all contract information into RFUMS' InSite portal. Ensure that all aspects of the contract are accurately captured by working closely with the Associate Dean, Clinical Affairs to ensure all notes are captured specific to each agreement.
  • Manage and maintain Clinical Affiliation Agreement Metrics (CAAM) & State Authorization Reciprocity Agreement (SARA) data collection.
  • Prepare clinical affiliation documents.
  • Process all affiliation agreements for CMS students by executing the following:
    • Coordinate administration of all contracts including MOU's, clinical affiliated hospitals for CMS students during clinical rotations for both Chicago Medical School and Global Health International.
    • Coordinate internal audit process and procedures with current contracts for real and potential deficiencies.
    • Coordinate with the CMS Deans Office to ensure all contracts clearly state financial objectives, address relevant regulatory and compliance concerns, and risk assessments.
    • Monitor to ensure the consistent and complete approval process that provides the signatories with the tenets of the contracts.
    • Work with internal resources to ensure that needs and expectations of the clinical sites are managed in accordance with the affiliation agreements arranged between the sites and CMS while complying with accreditation requirements.
  • Serve as a resource regarding affiliate site policies & procedures; and affiliate medical facility standards and guidelines relating to surgery expectations. Make recommendations to improve department policies and procedures.
  • Research and evaluate potential clinical sites and/or private physician offices in accordance with LCME standards and provide reports to the Associate Dean of Clinical Affairs.
  • Serve on the Directors of Clinical Education committee and other committees as requested.
  • Attend clinical affiliation workshops offered by accrediting bodies.
  • Perform additional duties as assigned.

Required Education & Experience
  • Bachelors Degree or equivalent related experience
  • Minimum of 5 years relevant experience in a higher education & health care environment

Required Knowledge, Skills, & Abilities
  • Requires advanced verbal and a demonstrated high level of written communication skills; including, composing, editing and proofreading.
  • Ability to professionally represent the Associate Dean, Clinical Affairs and the medical school in addition to effectively presenting and/or facilitating activities at a senior administration level.
  • Experience with executing a position at a high level of confidentiality and discretion.
  • Must be adept at anticipating needs, a self-starter, self-directed, and possess excellent time management skills.
  • Ability to effectively handle multiple projects simultaneously, prioritize responsibilities and handle detailed job tasks with accuracy and efficiency within prescribed deadlines.
  • Strong project management and proven problem solving skills with ability to develop and implement process improvement plans with a drive for quality outcomes.
  • Demonstrated ability to work as part of a team and to interact effectively with all levels of university management.
  • Excellent organizational, planning and analytical skills
  • High proficiency in advanced computer applications; spreadsheet analysis, word processing, database applications, graphics and presentation software.
  • Knowledge of budget processes.

Preferred Qualifications
  • Three years administrative project management experience.
  • Certified Healthcare Professional
  • In-depth understanding of university infrastructure and experience in a higher education setting.
