Position Summary:

Develop, manage and execute all in-person and virtual national and regional conventions and corporate meetings and events for all divisions and functional groups including National and Regional Sales Meetings. Lead projects from inception to delivery involving all levels of management and a multitude of stakeholders across different geographies and businesses. Implement convention and event processes, standards and measurements. Make sound, independent decisions consistent with business goals and objectives. Must be comfortable and successful in a fast-paced environment, committed to quality work and possess a strong eye for details. Must possess a high degree of energy and initiative, able to juggle multiple priorities simultaneously.

Responsibilities: Essential Duties

  • Collaborate with Marketing, Sales and Corporate Communications to ensure successful execution and integration of meetings and conventions and create unique event experiences that communicate our key messages and brand
  • Develop and manage tradeshow and meeting budgets in conjunction with marketing groups and applicable functional groups and negotiate vendor contracts including event locations and exhibition house
  • Manage booth layouts, invites, live and virtual event production, AV requirements, speaker prep, pre-recording and webinars in collaboration with Marketing, Corporate Communications and exhibit house
  • Understand business goals and be able to advise on tradeshow strategy to meet these goals
  • Conduct pre-show strategy meetings, working closely with Marketing and Corporate Communications to establish pre-event measurements and communicate post-event metrics including show leads
  • Evaluate, recommend and manage virtual/digital events and show sponsorship opportunities, and work with Corporate Communications to ensure completion
  • Manage booth logistics including space selection and contracts; staffing including training, staff communications and registration; AV requirements; customer dinners, meetings and symposiums held in conjunction with tradeshows; on-site booth set-up and on-site pre-show meetings
  • Source and negotiate all hotels for corporate meetings through Cvent and conduct site selection
  • Set up registration websites through Cvent for all corporate conventions and events
  • Set up Cvent mobile apps as needed for designated corporate meetings
  • Manage housing room blocks and manage attrition to meet budget guidelines
  • Conduct post-show de-briefing meetings with Marketing, Sales and Corporate Communications
  • Coordinate logistics for international personnel
  • Compile HCP Reporting associated with tradeshows/meetings
  • Gather intel at tradeshows, stay current on industry trends and look to implement new technologies and best practice ideas and solutions in Aesculap tradeshow booths and events
  • Process invoices for payment
  • Must comply with applicable ISO and FDA regulations as stated in Quality Manual
  • Must embody the Companys Vision, Mission and Values
  • Other duties may be assigned

Secondary or peripheral job functions:

  • Comply with healthcare compliance rules
  • Must present a professional appearance and conduct themselves in a professional manner
  • Strong problem solving, organizational, planning and interpersonal skills
  • During a full in-person event schedule, 25% domestic travel required for on-site management of meetings to include weekend work
  • Must be able to work with all levels of employees, specifically Senior Leadership
  • Must interact well with HCP customers and surgeons
  • Must constantly improve industry skills and stay informed of tradeshow/meeting trends

Expertise: Qualifications-Experience/Training/Education/Etc

  • Bachelors Degree required
  • CMP or CME/H Certification and Marketing Communications experience a plus
  • Minimum five years corporate tradeshow and multi-faceted, complex meeting planning experience required. Medical industry preferred.
  • Experience in virtual meetings and conventions
  • Experience integrating events into marketing campaigns
  • Familiarity with AdvaMed regulation requirements and Open Payments Reporting
  • Requires excellent presentation, written and interpersonal communication skills
  • Proficiency in Cvent and Crowd Compass Software
  • Must be proficient in Windows, Outlook, Excel, PowerPoint, Word, Microsoft Teams and Zoom platforms

Language and mathematical skills; reasoning ability:

  • Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
  • Mathematical Skills: Ability to add, subtract, multiply, divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to use hands to handle or feel and reach with hands and arms. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 20 pounds.
