GENERAL SUMMARY

The CFO Assistant provides a wide range of administrative and support activities for the Chief Financial Officer. He/She will work closely and collaboratively with appropriate team members to perform a wide range of duties. He/She will also assist in communication with key constituents including, the NKF Board Committees and Field Offices of the Foundation. The CFO Assistant must be knowledgeable about the overall environment of the Foundation and be able to facilitate the participation of its key National volunteer leadership.

PRINCIPAL DUTIES AND RESPONSIBILITIES


The CFO Assistant performs the following functions, including but not limited to:

  • Maintains the schedule and calendar for the CFO. Plan, coordinate and ensure the CFOs schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CFO's time and office.
  • Schedules and coordinates meetings and conference calls.
  • Creates, develops, revises, and updates content for communications, correspondence, presentations, and reports.
  • Helps to build relationships crucial to the success of the organization, and manages a variety of special projects for the CFO, some of which may have organizational impact.
  • Monitors SoftTime leave requests for accuracy, as well as run weekly reports.
  • Serves as the main contact for the contract review process. Liaison between the legal department, compliance and the key contact for each request. Monitors contracts for requested changes. Maintains and files fully executed contracts.
  • Serves as the primary liaison and provides support to various Board Committees, including the Finance, Audit, Investment, Nominating, Compensation and ad hoc committees.
  • Takes minutes or notes when needed; transcribes them for approval and distribution; maintains records of follow-up actions and tracking completion of these actions following meetings.
  • Maintains up to date contact information for all key contacts.
  • Creates PowerPoint presentations and accompanying materials with style and accuracy as needed.
  • Makes travel arrangements and prepares itineraries. Processes all travel expense reports in Concur.
  • Develops and maintains positive working relationships with all levels of staff and volunteers.
  • Acts as a liaison with other departments and outside agencies
  • Answers phones for the CFO. Takes messages or fields/answers all routine and non-routine questions.
  • Organizes and prioritizes large volumes of information and calls.
  • Sorts and distributes mail.
  • Performs additional duties as required.

MINIMUM QUALIFICATIONS

  • Bachelors Degree from an accredited college or university is preferred.
  • Minimum 2-3 years experience supporting C-Level Executives, preferably with a national nonprofit health organization.
  • Demonstrated knowledge and proficiency in the following software applications: Microsoft Word, Excel, PowerPoint, and Outlook.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of support and response.
  • Expert level written and verbal communication skills.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Forward thinker, who actively seeks opportunities and proposes solutions.
  • Excellent and interpersonal skills.
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Ability to thrive in an extremely fast-paced, dynamic environment.
