Job Description:

Amherst College invites applications for the Assistant Director of Athletics - Business Operations position. The Assistant Director of Athletics - Business Operations is a full-time, year-round position, starting at $65,000 - commensurate with experience. Reporting to the Associate Director of Athletics, the Assistant Director of Athletics - Business Operations performs day to day business office functions for the entire Athletic Department, including complex administrative and accounting-related functions involved in the preparation and maintenance of financial and other related business records. This position performs office financial functions, assists Associate Director of Athletics in preparing budget reports, manages financial and personnel processes, coordinates all Athletic Department team travel, and supervises the Front Desk Monitors, ensuring an inclusive experience within our diverse community.

Summary of Responsibilities

Financial Management
  • Work directly with Associate Director of Athletics for Finance in all financial reporting, accounting, and budget functions;
  • Ensure all revenue, deposit, and expense transactions are coded to the College's standards and policy;
  • Direct the reconciliation of all sport-specific programs and Department transactions, including purchase orders, journal entries, invoices, credit card reconciliations, reimbursements, transfers, payroll and other College financial reporting services;
  • Analyze and prepare reports, statements and spreadsheets for internal and external use;
  • Prepare and submit annual reports: EADA, NCAA and NESCAC financial reports;
  • Oversee all aspects of student billing;
  • Coordinate department payroll and employment contracts of all casual employees;


Team and Event Management
  • Oversee travel for all teams including ground travel, air travel and hotels for regular season and post-season play;
  • Effectively collaborate with a diverse team of individuals, including:
    • Liaise with Dining Services regarding team meals and meal replacements;
    • Work directly with Associate AD for hosting of post-season championships and events;
    • Coordinate staffing of student workers for post-season play;
    • Work with Associate AD and Equipment Room staff in the monitoring and planning of purchases of equipment, uniforms and apparel


Supervision
  • Hire, train and supervise the Front Desk Monitors at Alumni Gymnasium;
  • Work towards an intentionally inclusive culture
  • Coordinate coverage schedule throughout the academic year and summer;
  • Organize annual training sessions for monitors


Qualifications

Required:
  • Bachelor's Degree or more than 5 years of related experience in lieu of degree
  • 3-5 years of related athletics administrative experience;
  • Demonstrated analytical and problem-solving skills;
  • Strong verbal and written communication, customer service, organizational, and time management, skills as well as ability to multitask and prioritize;
  • Ability to take initiative, work independently and collaboratively;
  • Proficient in Microsoft Office particularly Excel and Access, or similar software, and the ability to learn new software programs;
  • Experience working with a diverse community;
  • Some evenings and weekends are required depending on operational needs
