The Advancement Assistant primarily assists with fundraising and volunteer efforts at the direction of the Director of Advancement (DoA) and Chief Advancement Officer (CAO). This includes coordinating the Sponsor a Day program, supporting donor cultivation, sponsorship, and stewardship activities, and assisting in executing fundraising and stewardship events. The Advancement Assistant provides support for special projects and other department administrative tasks as needed.

Essential Duties

Donor Development and Fundraising (30%)

  • Assist the DoA in planning and implementation of donor cultivation and stewardship activities.
  • Assist with stewardship mailings, solicitations, and donor follow-up.
  • Complete donor research to identify potential donors, as directed by CAO or DoA.
  • Assist in contacting potential donors to set up visits, tours, or meetings as requested by CAO or DoA.
  • Build and steward relationships with both assigned and potential donors in own fundraising portfolio.
  • Solicit cash, sponsorships and/or in-kind donations from individuals and corporate donors.
  • Maintain complete and accurate actions and notes in Raiser's Edge donor records, including setting up new constituent records and completing demographic information changes within records.

Sponsor a Day and Event Assistance (60%)

  • Coordinate all activities of Sponsor a Day program and fundraising/stewardship events, as directed by the DoA.
  • Work with DoA to create event collateral, such as name tags, table tents, and programs.
  • Heavily assist with execution of fundraising and stewardship events.
  • Collaborate with DoA and Director of Volunteer Services to increase volunteer engagement and corporate sponsorship within Sponsor a Day program.
  • Create engaging social media posts for Sponsor a Day, collaborating with Mar/Comm to schedule these posts.

Agency Representation and Community Engagement (5%)

  • Represent the agency at relevant community events and meetings as requested.
  • Host tours for donors, interested groups, or community members as requested, assisting with First Friday tours.
  • Assist with annual giving and employer campaigns (e.g., Empty Stocking Fund, Combined Federal Campaign).
  • Stay current in knowledge of agency services, priorities and initiatives, with the ability to share compelling stories of agency impact that encourage philanthropic support.

Advancement Team Duties and Back-Up (5%)

  • Participate in regular team meetings.
  • Provide input and editing (AP Style) back-up as requested for e-newsletters and printed quarterly newsletters.
  • Assist in implementing the agency's annual advancement plan, providing information and regularly monitoring results to the plan.
  • Monitor accuracy and usability of website in related areas, requesting updates, as needed.
  • Be knowledgeable in and ensure correct use of fundraising event software.
  • Provide administrative support and back up other department functions as requested.


  • High school diploma or GED required. Associates degree preferred.
  • Two years of experience in fundraising or development preferred.


  • Working knowledge of non-profit fundraising practices preferred.
  • Detailed and strong organizational skills, with ability to prioritize multiple important tasks.
  • Ability to present information before an audience in a clear and articulate manner.

Work Environment

  • A majority of the assigned duties are performed in an office environment.

  • Demonstrated self-starter with the ability to work independently, efficiently and effectively to meet deadlines, and demonstrated ability to work under pressure.
  • Excellent project management skills, some event experience preferred.
  • Strong command of Microsoft Office suite required.
  • Donor database (Raiser's Edge), volunteer database (Better Impact), and email marketing software (Constant Contact) experience preferred.
  • Knowledge of graphic design software (InDesign, Photoshop) a plus.
  • Ability and willingness to work within the established structure of Catholic Charities.


$17.23 - $19.38 DOE

Position Classification


Part Time: 25 hours per week

Preferred schedule is Monday - Friday 11:00 am 4:00 pm shift or 12:00 - 5:00 pm shift

Occasional evenings and weekends are required to accommodate meetings and special events
