The purpose of your role as an Administrative Assistant

As an Administrative Assistant, you will provide administrative support to various departments of Harris. Provide front desk back-up coverage.
  • Process a variety of permits for several divisions across the company:
  • Allocate purchasing card charges for various departments:
  • Create electronic Operations + Maintenance and Condensed Spec Books. Using electronic templates, compile appropriate information to create the needed electronic \u0026lsquo;books' to be used by operations team members as well as end customer.
  • In support of the Estimating team, download plans and specs into Harris network and distribute to subs for bidding purposes.
  • Monitor Corporate Services email box to support operations teams across the company.
  • Per operations or estimating team member requests, print CAD drawings from websites, emails or disc. Mail applicable drawings as needed.
  • Create and maintain spreadsheets
  • Daily scanning/indexing/filing - for purchasing card & purchasing back-up purposes.
  • Process outgoing mail and maintain postage machine
  • Coordinates FedEx and Courier services
  • Back up to the Front Desk
  • Sort daily incoming mail and date stamp each invoice and put in appropriate mailbox

What we're looking for in you
  • Proficient with Microsoft Office - advanced typing skills
  • Experience writing business level correspondence
  • Experience providing administration support to a group or division
  • Must be able to write clear, professional emails, and communicate effectively with field personnel, subcontractors, owners and others
  • Ability to maintain confidentiality of work items at all times
  • Associates degree preferred in business or related, or equivalent years of experience
  • Knowledge of mechanical contracting preferred
