The American Veterinary Medical Association (AVMA), the national not-for-profit association established in 1863 representing over 100,000 veterinarians working in private and corporate practice, government, industry, academia, and uniformed services, is seeking an Administrative Assistant to join the Veterinary Economics Division team located at the AVMA Headquarters office in Schaumburg, Illinois, a northwest suburb of Chicago.

Reporting to the Chief of Professional Relationships and Strategic Initiatives, the Administrative Assistant will be responsible for providing administrative support to the Chief Officer, divisional staff, and governance entities. Administrative support includes the preparation of agenda materials; coordinating and scheduling internal and external meetings including logistics; collating reports, preparing meeting minutes and correspondence; maintaining records for the division and assigned entities; coordinating travel arrangements; as well as performing general administrative tasks and special projects as assigned. This position will also support the planning and implementation of the annual AVMA Business and Economic Forum. Less than 5% travel. Hybrid work environment.

To be successful in this role you must be passionate about AVMAs mission, additional qualifications include:

  • BS/BA degree or equivalent work experience required.
  • Minimum of five years of administrative office experience, association experience preferred.
  • Strong organizational and project management skills and ability to handle a variety of responsibilities.
  • Aptitude to work independently and as part of a team.
  • Dependable, flexible, adaptable.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Proficient office computer skills and working knowledge of project management tools.
  • Competent attention to detail and confidential information.
  • Professional customer service skills.
  • Must exhibit AVMAs commitment to Diversity, Equity, and Inclusion in execution of duties.
  • Ability to work outside normal business hours as needed.
