Position Summary

The Administrative Assistant will be responsible for ensuring the highest level of customer service quality as well as efficiently and effectively performing general office administrative functions for the Director of Community Health Engagement with the Community Care Connection (CCC) as assigned, its subdivisions, and other staff.

Essential Duties & Responsibilities
  • Provide professional administrative support to the Director of Community Health Engagement and as assigned, its subdivisions, and other staff.
  • Maintain an organized filing system, including electronic documents and the department shared drive.
  • Maintain office and medical supplies and needed documents; evaluate new office products; place and expedite orders for supplies; and reconcile charges.
  • Assist with completing mileage reimbursement forms for CCC traveling team members
  • Prepare and submit expense reports (check requests, purchase orders, and travel), Travel & Entertainment and Purchasing card statements.
  • Manage the mail and prioritize accordingly.
  • Schedule and coordinate meetings and conference/zoom calls, distribute materials, reserve meeting space, prepare agendas, prepare PowerPoints, and prepare room for attendees. Take minutes as assigned and follow up on meeting action items.
  • Schedule Site Visits with outside guests as needed.
  • Communicate effectively with administration, faculty, staff, and associates both internal and external to the Community Care Connection and health clinic.
  • Respond to requests for information and assistance.
  • Update and maintain the departments organizational chart and website (internet) and Insite (intranet) and ensure they are current and accurate.
  • Assist the Director by collecting data and drafting summary reports for board meetings.
  • Assist with maintaining current credentials, professional licenses and certifications.
  • Prepare medical student letters of recommendation for the Education Directors and Discipline Charis upon request and upload them to ERAS.
  • Other duties as assigned by the Director of Community Health Engagement

Required Education & Experience
  • High school degree or equivalent.
  • 1 year experience working as an administrative assistant or customer service position within a healthcare environment.
  • Experience with Microsoft Office Suite.
  • Must achieve a background check clearance.
  • Must have proof of covid19 vaccination or a university approved exemption.

Required Knowledge, Skills, & Abilities
  • Bilingual (Spanish/English)
  • Strong computer skills (Word, Excel, D2L or similar education platform).
  • Ability to adjust to changing priorities and prioritizing tasks
  • Exemplary interpersonal, verbal, and written communication skills.
  • Strong organizational and proof-reading skills
  • Welcoming, positive, pleasant, and helpful style of communication
  • Ability to compose professional correspondence and draft reports.
  • Strong competency in customer service.
  • Ability to complete tasks working independently and with others.

Preferred Qualifications
  • Experience working in a healthcare environment
  • Experience working in Google Suites
  • Experience with program implementation and evaluation.
