We are seeking an enthusiastic Administrative Assistant to join our team! The Administrative Assistant provides support for our administrative team and helps to manage the office at our main headquarters located at 2336 Massachusetts Avenue in Cambridge.

The position is a first point of contact, serves as an information resource for guests and visitors, and collaborates with support staff. The position helps to ensure an efficient work environment and is responsible for a range of administrative duties in support of the organizations initiatives.

What Were Looking For

We are looking for an energetic and adaptable person to provide efficient and professional administrative support to our Director of Administration and Human Resources while also providing broader support to our administrative team. Duties will include managing confidential personnel and business information and requires a broad understanding of the organizations policies and practices. This position will also provide administrative support to others as needed in the areas of financial, communications, technology, and development, as well as additional duties that are assigned.

Effective communication, confidentiality and superior attention to detail are essential for this position. Were looking for someone who is detail-oriented, with good writing skills and who can cheerfully and quickly jump in when requested to help with whatever activity comes up.

Responsibilities

  • Schedule meetings and appointments and take notes and minutes
  • Order and take inventory of office supplies and assist remote staff with office supply requests
  • Coordinate office space and office equipment repairs
  • Coordinate meetings and business trips and prepare materials
  • Greet and direct visitors to the organization
  • Process and direct mail and incoming packages and deliveries that arrive at the office
  • Contact personnel at all levels to gather information and prepare reports
  • Prepare, manage and store paperwork for HR policies and procedures
  • Process and submit vendor and business invoices
  • Organize, compile, update company personnel records and documentation
  • Provide IT support to the Director of IT and assist with troubleshooting when needed
  • Provide support in the production of materials, which includes proofing, formatting, accessibility checks, Section 508 compliance), and ensuring the submission of high-quality deliverables and proposals

Minimum Qualifications

  • 3+ years related experience
  • Proficient in Microsoft Office products such as Excel, Word, Outlook, PowerPoint, SharePoint, OneDrive and Teams; willing to learn a variety of web conferencing/virtual meeting applications
  • Excellent and effective communication skills, both written and verbal
  • Strong Interpersonal skills
  • Ability to problem solve
  • Ability to work both independently and as part of a team
  • Ability to multi-task and prioritize
  • Ability to handle sensitive information in a confidential manner
  • Must be a self-sufficient, self-starter able to learn quickly and know when to ask questions
  • Highly organized with strong time management skills

Desired Qualifications

  • Basic proficiency with technology and computer skills
  • Knowledge of HRIS platforms and HR software

Working Conditions

  • Work performed in a typical office environment
  • May be required to travel to special events and/or off-site meetings
  • Routine meetings held face-to-face, by telephone, or web conferencing
  • Work is performed in a team-driven environment
