Job Description:

Amherst College invites applications for the Accounts Payable Clerk/Receptionist position. The Accounts Payable Clerk/Receptionist is a full-time, year-round position, job group and level AO-2. Given Amherst's distinction as one of the most diverse liberal arts colleges in the country, the successful candidate will demonstrate the w ays in which they bring value to and will work towards supporting a broadly diverse community.

Reporting to the Assistant Director of Finance Services, this role handles Accounts Payables for separate entities and vendors, working to ensure that payments are issued on time, and that supplier records are entered and maintained in the Workday Supplier Accounts module. This role also serves to help ensure all members of the department receive their physical mail in a timely fashion.

Summary of Duties and Responsibilities

Payment and Supplier Data Administration
  • Handle accounts payable for separate entities and vendors
  • Establish and maintain relationships with a diverse set of new and existing vendors
  • Ensure bills are paid in a timely and accurate manner while adhering to departmental procedures
  • Run reports to manage/reduce aging of overdue invoices
  • Process due invoices for payments (settlement runs)
  • Complete requests for new suppliers and maintain the accuracy of supplier profile information such payment types, payment terms, and remit to addresses.
  • Backup other members of the Accounts Payables department as required

Workday Supplier Accounts Training
  • Train the campus as to how to enter invoices and supplier requests into Workday

Receptionist Duties
  • Help process Shared Services' mail (delivering to the proper internal contacts)
  • Serve as an interface to a diverse group of on-campus visitors who come to the Shared Services office and work towards a culture of intentional inclusion within the office

  • High School diploma or equivalent work experience
  • Commitment to working with a diverse and inclusive community
  • 1-2 years of related experience
  • Knowledge and experience with E-Commerce and electronic procurement applications
  • Proficient in Microsoft Office

P r e f e r r e d:
  • Workday Supplier Accounts Module Experience
